New NFPA 13 2025 Requirement: Documentation Cabinet Now Mandatory (Section 16.11.1.3)

The 2025 edition of NFPA 13 has recently introduced a new code under Section 16.11.1.3 requiring an onsite documentation cabinet for fire sprinkler systems. The intent is to ensure system records remain available for inspection, testing, maintenance, future modifications, and long-term performance evaluation. This change shows a growing focus on keeping clear system records over time to help ensure fire protection systems stay reliable.

Key Requirements Under Section 16.11.1.3

16.11.1.3.1

A documentation cabinet shall be installed at an approved location at the protected premises.

16.11.1.3.2

The documentation cabinet shall be sized so that it can contain all necessary documentation.

16.11.1.3.3

All record documentation shall be stored in the documentation cabinet in an electronic or hardcopy format.

16.11.1.3.4

The documentation cabinet shall contain at a minimum the final record of completion documents, final shop drawings, and as-builts of the fire sprinkler system.

Industry Context 

This update will feel familiar to fire alarm contractors, since NFPA 72 has included similar documentation cabinet requirements since the 2013 edition. For fire sprinkler contractors, however, this is new and will require some updates to closeout and record keeping procedures. 

Because this change is new to NFPA 13, some cities and inspectors may not yet be fully aware of it, but that will likely change quickly. Putting documentation cabinet processes in place now can help avoid inspection delays while also making future maintenance, troubleshooting, and system changes easier to manage.
